Local library and platforms

Notes, whiteboards, and attachments stay on this device by default. While cloud sync is off, they are not uploaded to Flexnote servers, and editing continues offline. An account is used for Pro and cloud sync. A library kept on one computer does not require a sign-in.

The free plan includes 3 whiteboards, 100 cards, and local storage, on one device and in one workspace. Unlimited whiteboards, additional workspaces, Flexnote AI, and cloud sync are included in Pro and Lifetime. Plans are on the pricing page (opens in a new tab).

Where the data lives

There are two places on the device.

Cards, whiteboards, tags, daily notes, and todos are stored in the local database of the corresponding workspace. Each workspace has its own database.

Images, PDFs, audio, video, and the local backups in the backup folder are stored in the Data folder. Open Settings > Local Storage & Backup to see the current path. Until you choose another location, that folder is FlexNote on the desktop.

On first launch you can choose the language, the theme, and this folder, and name the first workspace.

Open data folder opens the folder in the system file manager. Change folder picks another location. If the selected folder is not named FlexNote, the app creates a FlexNote folder inside it and moves the files from the current directory there. If the selected folder is already named FlexNote, that folder is used as it is. The new location cannot sit inside the current data folder. Changing the folder moves the files in that directory. Workspace databases remain in the app's local data.

Before moving to another computer or reinstalling, keep a backup as described in Import, export, and backup. The FlexNote folder on the desktop holds attachments and backups. Copying that folder leaves the workspace databases behind.

Workspaces

The name at the top of the sidebar is the current workspace. Open it to switch, rename, reorder, or create a workspace. Each space has its own notes and settings.

The free plan keeps a single workspace. Pro and Lifetime can create more, so a course, a project, or a separate subject can live in its own space.

Deleting a workspace asks for confirmation. Its data moves to the trash, and the app switches to another space. The list always keeps at least one workspace.

A deleted space remains on the device. At the bottom of Settings > Local Storage & Backup, Deleted workspaces offers Restore and Delete permanently. Permanent deletion erases that space's local database and cannot be undone. The workspace currently in use cannot be permanently deleted from this list. Deleted spaces are left out of new full backups.

Attachments

Settings > Attachment lists images, videos, audio, and documents by type, and shows which cards or whiteboards reference a file. Deleting an attachment moves the file on disk to the system Trash.

Auto-clean unreferenced attachments is off by default. When it is on, opening Attachment moves unreferenced files to the system Trash.
